Job Description

DLZ Corporation is looking for a reliable individual to fill an Executive Assistant / Office Services Coordinator position in our Columbus, Ohio office.


Duties & Responsibilities:

  • Assist Executives of the Corporation in handling a variety of business tasks.
  • Receive Executive telephone calls and visitors.  Screen all telephone calls, make appointments, cancel appointments and obtain information for Executive in a tactful manner.
  • Take and prepare business meeting minutes.
  • Prepare the material for corporate meetings, including notice of meeting, agenda and minutes.
  • Maintain Customer Relations Management (CRM) software.
  • Make hotel, airline, car rental and other reservations for Executives.  Maintain Executives itinerary.
  • Using Microsoft Office applications respond to emails, prepare letters, reports, meeting notices, invitations, and memos.
  • Organize Executive's incoming mail, sort, respond to certain requests, distribute pertinent information to other departments, scan all advertising, etc.; familiarity with postal rates, special delivery, express and air mail services.
  • Organize large and small company events including; venue, food, entertainment, and prizes.
  • Keep all necessary information confidential.
  • Perform all routine matters independently, reporting directly to Executive.
  • Possess aptitude to act as a positive representative of the company and its core values.
  • Perform all work in a safe and responsible manner, in accordance with the Health and Safety Plan.
  • Perform additional tasks assigned by Vice President & General Counsel.

Job Qualifications:

  • High School Graduate or equivalent, with business or office training
  • Two or more years relevant office experience
  • Comprehensive knowledge of Microsoft Office applications including Word, Excel, and PowerPoint.
  • Must be proficient with office equipment such as; copiers, printers, computerized phone system, scanner, mail equipment etc.
  • Experience with Customer Relations Management (CRM) software applications, such as DELTEK is preferred.
  • Strong judgment, initiative and problem-solving skills.
  • Strong interpersonal and communication skills and the ability to interface effectively with personnel at all levels throughout the Company.
  • Detail-oriented and possess exceptional organizational skills.
